Frequently Asked Questions
Account & Access
How do I sign up?
BMR Mobile is available on the Apple App Store, and the web platform is at app.bettermeetingrooms.com. There are two ways in:
- With an invitation — if a colleague or the BMR team has invited you, use the invitation link so you land in the correct organisation. Sign in with your company email and password, or via Google or Cisco Webex SSO. See Account Setup.
- Without an invitation — you can sign up on your own on the Web or in BMR Mobile. After signing up you first confirm your email address via the confirmation email you receive; then a short onboarding wizard guides you through creating your first Organisation, Location, and Room, so you land in a ready-to-use workspace instead of an empty account.
If you are joining a company that already uses BMR, prefer the invitation route (or use your company email) so you see the same rooms and data as your colleagues.
Can I use a personal email (like Gmail or Outlook)?
You can, but if you are part of a company you will not see the same rooms and organisation data as your colleagues. Use your company email to be placed in the correct organisation.
I have an app called "BMR Mobile Private" — which one should I use?
Use BMR Mobile, now available publicly on the Apple App Store. The earlier BMR Mobile Private app (distributed by a download link) is no longer supported — delete it and install BMR Mobile from the App Store.
Devices & Requirements
Which devices support room scanning?
iPhones and iPads with LiDAR — iPhone 12 Pro or newer (Pro / Pro Max), iPad Pro 11" (2nd gen, 2020) or newer, iPad Pro 12.9" (4th gen, 2020) or newer. See System Requirements for the full list.
Can I access BMR on the web?
Yes. Go to app.bettermeetingrooms.com — the web platform is where you manage rooms, compare acoustic measurements, run organisation-wide search, and work in BMR Studio, the 3D environment for design and the Active Design record.
Lifecycle Phases
What is the Discovery Phase?
Discovery is where you capture the room with an iPhone — a scan, markers and photos, and a guided acoustic measurement. All of this becomes the room's Room Data, which every later phase builds on.
Should I use the Advanced or Basic acoustic measurement flow?
We recommend Advanced. It captures the position of each measurement and of the speaker (including a photo) during the flow — data we use to improve measurement quality, and which will enable Auralisation (hearing how a room sounds) in future releases. Basic runs the measurement without capturing those positions. Advanced needs a room scan and an internet connection; you choose the mode in Settings → Acoustic Settings.
What is the Design Phase?
Design turns your Room Data into a validated room setup. There are two ways to start: create a design on the web — in BMR Studio, or via VRC (Workspace Designer) — or place equipment in AR on your iPhone or iPad. Both end up in BMR Studio, where you refine and version the design (best done on a computer). You can design the room yourself — placing equipment from the catalog, reviewing coverage overlays, and managing versions — or use Send Feedback to ask the BMR team for help. See Design Phase.
Is BMR Studio available to me?
Yes — BMR Studio is in Beta but enabled for everyone. It is designed for the web on a computer, which gives the best experience for detailed design; it also runs in BMR Mobile on iPad (good for reviewing, less suited to detailed work) and iPhone (preview only). Open any room, go to Design, and click Open Studio to get started.
What is AR Design, and do I need to save it?
AR Design lets you place equipment directly in the physical room, at real scale, using your iPhone or iPad. You never name or manually save it — a design is created and saved automatically as you work, and uploaded when you tap Upload & Exit. It is then imported into BMR Studio to refine. A room scan is required first. See the AR Design guide.
Can I add notes to rooms and other elements?
Yes. You can add notes to organisations, locations, rooms, scans, markers, acoustic measurements, and designs — on both the web platform and the app. You can also add a note to a group of related acoustic measurements (for example a bundled three-position measurement), not just to individual ones. Notes are visible to all team members with access.
What is a Default Room Configuration?
A recommended equipment setup defined by your organisation admin, based on room size and usage type. When you design a room in BMR Studio that matches a configuration's size range, the recommendations appear in the Guidelines panel — showing which categories are already fulfilled and which are still missing, with a Place in room action to add any missing items directly. See Default Room Configuration for details.
Can I add my own items to the catalog?
The Equipment Catalog is managed by the BMR team — you don't add or edit items yourself. To request a new item, use Send Feedback with its name, brand, and SKU (plus a datasheet or product link if you have one). See Requesting a Catalog Item for exactly what's needed by category.
What is Maintenance?
Maintenance uses the Active Design — the live record of the room as installed — as a single source of truth that IT, facilities, and support teams can all work from, without manual upkeep. Live monitoring, troubleshooting workflows, and upgrade requests are on the roadmap.
How do I move a room to a different organisation or location?
Open the room and go to the Overview page. Tap Edit to enter edit mode — you can then select a new organisation and location for the room. Save your changes to apply the move.
How do I delete a location?
Open the Organisation page and go to the Locations tab. Each location entry has a garbage bin icon — tap it to delete that location.
Platform Limitations
Do you support Android devices?
No. The app runs only on iOS devices with LiDAR. The BMR web platform works in any modern browser — see System Requirements.
Support
Who do I contact if I get stuck?
Use Send Feedback to send a Bug report, Feature request, Question, or Other message directly to the BMR team. It is in the header on the Web (labelled Report an Issue) and under Settings in BMR Mobile (labelled Send Feedback). The team monitors this channel actively, so it is the fastest way to get a reply.
